Problem

The handoff from sales to customer success is slow, and new customers wait for a welcome

Caveats

Needs n8n Data Tables, a HubSpot developer app credential for the trigger plus OAuth for other steps, and an AI credential such as OpenAI. It assumes you use HubSpot's Buying Role property to mark a Champion. Contact and deal details go to the AI provider, and the welcome email sends without review unless you add an approval step. Replace the placeholder video and help-doc links in the prompt.

Tools

  • n8n
  • HubSpot trigger + API (deals, contacts, owners)
  • n8n Data Table
  • OpenAI (AI agent)
  • Gmail

Steps

  1. A HubSpot deal's "Is closed won" property turns true.
  2. Pick the CSM with the lowest deal count from an n8n Data Table.
  3. Fetch the deal's contacts and find the "Champion" by buying role.
  4. An AI agent writes a personalized welcome email, sent via Gmail as HTML.
  5. Assign the CSM as the champion's contact owner in HubSpot and increase that CSM's deal count.
