Problem

New patient enquiries go cold when nobody follows up, and booked patients still miss appointments

Caveats

No AI involved. Needs a Twilio account with an approved WhatsApp sender (sandbox for testing; cost UNKNOWN), plus your own lead form and booking system that can POST to the two webhooks. WhatsApp and email marketing need the patient's consent. Patient contact details and appointment times are stored in Google Sheets; check your health-privacy obligations (for example HIPAA in the US) before storing them there.

Tools

Steps

  1. New lead arrives by webhook and is logged to Sheets as New.
  2. Send a WhatsApp welcome and a Gmail welcome email.
  3. Re-check the sheet after 1 hour and stop if Booked.
  4. WhatsApp follow-up on day 1, special-offer email on day 3, final WhatsApp on day 7, then mark Lost.
  5. A booking webhook creates the Calendar event and marks the lead Booked.
  6. Send 24-hour and 2-hour WhatsApp reminders, then a post-visit review request email.
