Problem

Reviews go unanswered for days, and a rushed reply to a bad review can make things worse

Caveats

Routine replies are posted publicly without a human check unless you change the template to route everything for approval. Starting with all replies reviewed is safer. Needs a Zapier plan that supports multi-step Zaps with paths (cost UNKNOWN), a Google Business Profile you manage and Gemini access. AI risk checks can miss things, and generic replies can read as canned. Never confirm someone was a customer or share details in a public reply (especially in healthcare).

Steps

  1. A new Google review is posted.
  2. Gemini checks the text and star rating for risk (1-star, legal language, threats, safety concerns).
  3. Routine reviews get an AI-written reply posted automatically.
  4. High-risk reviews get a draft reply that is held.
  5. Your team is emailed the review and suggested draft to approve or edit.
