Problem

Clinic front desks are flooded with WhatsApp messages about appointments, services and documents

Caveats

Patients may send health details, lab results and insurance documents, which this sends to OpenAI and stores in Sheets and Data Tables. In the US that raises HIPAA questions (business associate agreements, safeguards), so get compliance advice first. The bot must not give medical advice, and urgent symptoms need a clear "call us or emergency services" path. Needs WhatsApp Business API access, OpenAI and Pinecone accounts (costs UNKNOWN).

Tools

  • n8n webhook
  • WhatsApp Business API
  • OpenAI GPT-4o-mini, Whisper and Vision
  • Pinecone (knowledge base)
  • n8n Data Tables
  • Google Docs
  • Google Sheets
  • Gmail

Steps

  1. WhatsApp messages (text, voice notes, images, documents) arrive by webhook.
  2. Voice is transcribed with Whisper and images are read with Vision.
  3. The AI agent identifies intent: booking or rescheduling, service or doctor question, document submission or human request.
  4. Questions are answered from the clinic's knowledge base in Pinecone.
  5. Bookings are checked and confirmed against slots in Data Tables.
  6. Frustration or a request for a person pauses the bot and alerts staff; interactions are logged to Google Sheets.
